RainbowWeddingNetwork.com respects your privacy and recognizes that privacy can be especially important to members of the LGBTQ+ community, their partners, families, guests, and the welcoming businesses that serve them.

This Privacy Policy explains how Artistic Ventures, Inc., doing business as RainbowWeddingNetwork.com, Rainbow Wedding Network, and OurDay Planning Tools (“RainbowWeddingNetwork,” “RWN,” “OurDay,” “we,” “us,” or “our”), collects, uses, shares, retains, and protects personal information.

This Privacy Policy applies when you:

  • visit RainbowWeddingNetwork.com or related websites and services;

  • create or use an account;

  • use OurDay wedding-planning tools;

  • create a wedding webpage;

  • save or contact vendors;

  • register for an LGBTQ+ Wedding Expo or another event;

  • subscribe to emails or newsletters;

  • enter a giveaway or promotion;

  • submit a review, article, inquiry, or other content;

  • create or manage a business listing;

  • advertise, exhibit, sponsor, or otherwise do business with us;

  • communicate with us through a form, email, telephone, social media, or another method.

For purposes of this Policy, these websites, tools, events, and related services are collectively called the “Services.”

By using the Services, you acknowledge the information practices described in this Privacy Policy.

1. Our Commitment to LGBTQ+ Privacy

Using an LGBTQ+-focused wedding website or attending an LGBTQ+ Wedding Expo may reveal or suggest personal information about someone’s sexual orientation, gender identity or expression, relationship, family, community connections, or wedding plans.

Some privacy laws may treat some of this information, or information used to infer it, as sensitive personal information.

We therefore seek to handle LGBTQ+-related information with additional care.

Unless necessary for a feature you voluntarily choose to use:

  • You are not required to state your sexual orientation or gender identity.

  • Identity-related questions should be clearly identified as optional.

  • We will not publicly identify someone as LGBTQ+, engaged, married, or attending an LGBTQ+-focused event without that person’s direction, consent, or another lawful basis.

  • We will not disclose personal information to relatives, employers, religious organizations, community members, or other individuals merely because they request it.

  • We will not use identity-related information to discriminate against users or businesses.

  • We will not use identity-related information to make decisions concerning employment, credit, housing, insurance, healthcare, or other similarly significant matters.

  • We will not knowingly use personal information to involuntarily “out,” harass, threaten, or endanger someone.

We may use information about your relationship, wedding, location, preferences, or identity when necessary to provide a feature you request, such as wedding-planning tools, relevant vendor results, event registration, or a public wedding webpage.

2. Information We Collect

The information we collect depends on how you interact with the Services.

A. Account and profile information

When you create or manage an account, we may collect:

  • your name;

  • username;

  • email address;

  • telephone number;

  • mailing address;

  • password or account credentials;

  • profile information;

  • communication preferences;

  • information you provide when requesting account support.

Creating a general RainbowWeddingNetwork or OurDay planning account does not, by itself, place your account or private planning information on an expo attendee list.

Expo registrants separately agree, during ticket registration, to share their registration information with businesses participating in that event.

B. Wedding and planning information

When you use OurDay or other wedding-planning features, we may collect information such as:

  • your partner’s name;

  • wedding, ceremony, reception, rehearsal, or honeymoon dates;

  • wedding and event locations;

  • estimated or actual budgets;

  • checklists, timelines, and planning notes;

  • vendor categories and preferences;

  • saved, favorited, or contacted businesses;

  • guest information;

  • registry information;

  • wedding party or family information;

  • photographs, stories, names, and other wedding webpage content;

  • other information you choose to enter into a planning tool.

You should obtain appropriate permission before providing personal information about your partner, guests, family members, wedding party, or other people.

C. LGBTQ+-related and identity-related information

Information you voluntarily provide may include:

  • pronouns;

  • gender identity or expression;

  • sexual orientation;

  • relationship descriptions;

  • LGBTQ+ business ownership information;

  • accessibility or inclusion preferences;

  • information contained in discrimination, harassment, or safety reports.

We do not require you to disclose this information unless it is reasonably necessary for an optional feature you have specifically requested.

D. Event-registration information

When you register for an LGBTQ+ Wedding Expo or another event, we may collect:

  • your name;

  • your partner’s or guest’s name;

  • email address;

  • telephone number;

  • mailing address or general location;

  • wedding or event date;

  • wedding location;

  • services or vendor categories of interest;

  • planning preferences;

  • the event for which you are registering;

  • information necessary to issue or manage tickets;

  • information about how you learned about the event;

  • other information you voluntarily submit during registration.

Event registration is subject to the information-sharing practices explained in Section 5.

E. Vendor, advertiser, exhibitor, and sponsor information

When a business creates a listing, advertises, exhibits, sponsors an event, or otherwise works with us, we may collect:

  • business and contact names;

  • business address;

  • email addresses and telephone numbers;

  • website and social media addresses;

  • business categories and service areas;

  • company descriptions;

  • photographs, videos, logos, pricing, promotions, and marketing materials;

  • LGBTQ+ ownership or inclusion information voluntarily submitted for publication;

  • contracts, orders, invoices, and payment status;

  • event participation and sponsorship information;

  • customer-service communications;

  • reviews, complaints, and responses.

Information submitted for publication in a vendor listing, advertisement, show guide, article, sponsorship placement, or other public feature should be considered public.

F. Payment and billing information

When you purchase advertising, listings, sponsorships, event participation, upgrades, or another paid service, we or our payment providers may collect:

  • billing name and address;

  • payment-card, bank, or payment-account information;

  • transaction amount;

  • payment status;

  • transaction date;

  • fraud-prevention and authentication information;

  • invoice and order information.

Payment information may be collected directly by an independent payment processor. In those cases, we may receive limited transaction information rather than your complete payment-card or bank-account details.

G. Inquiries, communications, and submitted content

We may collect information you provide through:

  • contact forms;

  • vendor inquiry forms;

  • quote or information requests;

  • emails;

  • telephone calls;

  • newsletter forms;

  • surveys;

  • reviews;

  • discrimination or safety reports;

  • article submissions;

  • giveaway or promotional entries;

We do not seek your precise physical location unless a particular feature clearly requests it and you choose to provide permission.

  • operate RainbowWeddingNetwork and OurDay planning tools;

  • save budgets, checklists, notes, favorites, preferences, and other planning information;

  • create and host wedding webpages;

  • provide vendor search results and recommendations;

  • connect users with businesses they choose to contact;

  • register attendees and issue event tickets;

  • provide event information and updates;

  • prepare and distribute event attendee information as described in Section 5;

  • create, review, manage, and display vendor listings;

  • process advertising, exhibit, sponsorship, and other business orders;

  • process payments and maintain transaction records;

  • send account, security, purchase, event, and customer-service communications;

  • send newsletters, wedding inspiration, promotions, and special offers;

  • personalize content and improve the Services;

  • measure website, advertising, and email performance;

  • understand how visitors use the Services;

  • prevent fraud, spam, misuse, and security incidents;

  • investigate complaints and reports;

  • enforce our Terms of Service, Vendor Guidelines, contracts, and other policies;

  • protect users, businesses, RainbowWeddingNetwork, and the public;

  • comply with legal obligations;

  • establish, exercise, or defend legal claims.

We may combine information collected through different portions of the Services when reasonably necessary for these purposes.

4. How We Disclose Personal Information

We may disclose personal information in the following circumstances.

A. Service providers

We may provide personal information to companies that help us operate the Services, including providers of:

  • website and database hosting;

  • cloud storage;

  • cybersecurity and fraud prevention;

  • payment processing;

  • email and newsletter delivery;

  • analytics;

  • advertising and advertising measurement;

  • event registration;

  • customer support;

  • accounting;

  • legal and professional services.

These companies may process information only for authorized purposes, subject to their agreements with us and applicable law.

B. Businesses you choose to contact

When you send a message, request information, request a quote, or otherwise choose to contact a listed business, we provide that business with the information needed to receive and respond to your inquiry.

Once your information has been provided to the business, that business may process it under its own privacy policy and business practices.

C. Event exhibitors, sponsors, and participating businesses

When you register for an event, we disclose registration information to businesses represented at that event as explained in Section 5.

This is different from creating a general RainbowWeddingNetwork or OurDay planning account.

D. Public information and content

Information you intentionally publish through a public business listing, wedding webpage, review, testimonial, comment, article, photograph, advertisement, or similar feature may be viewed by anyone.

Public information may be:

  • indexed by search engines;

  • copied or shared by other people;

  • stored in search-engine caches or online archives;

  • displayed outside RainbowWeddingNetwork.

Removing information from our Services may not remove copies that were previously indexed, saved, or shared elsewhere.

E. Legal, safety, and security disclosures

We may disclose information when we reasonably believe disclosure is necessary to:

  • comply with applicable law;

  • respond to valid legal process;

  • comply with a court order, subpoena, or lawful government request;

  • investigate fraud, abuse, harassment, discrimination, threats, or security incidents;

  • protect the rights, property, integrity, or safety of users, businesses, RainbowWeddingNetwork, or others;

  • enforce a contract, policy, or legal right.

When legally permitted and reasonably practical, we will seek to limit a disclosure to information relevant to the request or matter.

F. Business transactions

Personal information may be disclosed or transferred in connection with a merger, acquisition, financing, restructuring, bankruptcy, sale of assets, or similar business transaction.

Any recipient will be required to handle personal information according to applicable law and any continuing commitments contained in this Policy.

G. Aggregated or deidentified information

We may use and disclose aggregated or deidentified information that cannot reasonably be connected to a particular person.

We will not attempt to reidentify properly deidentified information except when reasonably necessary to test or improve our deidentification methods or as otherwise permitted by law.

5. Event Registration and Attendee Information

RainbowWeddingNetwork LGBTQ+ Wedding Expos are intended to connect couples and other wedding-planning attendees with businesses that offer wedding-related products and services.

A. Required information-sharing agreement

As part of registering for an event, your registration information will be shared with businesses represented at the event for which you register.

Before you proceed to receive tickets, you will be presented with event terms explaining this disclosure and will be required to affirmatively agree to those terms.

By accepting the event-registration terms and completing registration, you direct and authorize RainbowWeddingNetwork to provide your registration information to the businesses participating in that event.

You cannot complete the ticket-registration process without agreeing to the disclosed event information-sharing terms.

B. Businesses receiving attendee information

Recipients may include:

  • exhibitors;

  • sponsors;

  • venues;

  • wedding professionals;

  • travel or honeymoon businesses;

  • retailers;

  • other businesses represented at the applicable event.

Participating businesses may receive the attendee information after the event or at another time reasonably connected to event administration and follow-up.

C. Information included

The attendee information provided to participating businesses may include information submitted during registration, such as:

  • attendee names;

  • partner or guest names;

  • email addresses;

  • telephone numbers;

  • mailing addresses or general locations;

  • wedding dates;

  • wedding locations;

  • wedding-planning preferences;

  • services or vendor categories of interest;

  • the event attended or registered for.

The registration form and event terms may identify additional information included in a particular event’s attendee information.

D. How participating businesses may use the information

Businesses represented at the event may use attendee information to:

  • provide information about wedding-related products or services;

  • follow up after the event;

  • respond to stated wedding-planning interests;

  • send wedding-related offers or promotions;

  • invite attendees to consultations, appointments, open houses, or other relevant events;

  • contact attendees about services that may be relevant to their wedding, honeymoon, home, family, or celebration.

Participating businesses are independent companies. Once a business receives attendee information, its own privacy policy and marketing practices may also apply.

Marketing emails should provide a way to unsubscribe. You may contact the individual business directly to ask it to stop contacting you.

Providing a telephone number during registration does not automatically authorize every participating business to send automated marketing text messages or make prerecorded or automated promotional calls. Any additional consent required for those communications must be obtained separately.

E. Sensitive nature of event registration

Registration for an LGBTQ+-focused event may reveal or suggest information about a person’s relationship, sexual orientation, gender identity, community affiliation, or wedding plans, even when the registration form does not directly ask for that information.

By affirmatively accepting the event information-sharing terms, you acknowledge this possibility and agree to the disclosed sharing of your registration information for wedding-related event and marketing purposes.

We expect participating businesses to handle attendee information respectfully and responsibly. Attendee information should not be used to:

  • publicly identify or involuntarily “out” an attendee;

  • harass, threaten, or discriminate against an attendee;

  • publish an attendee’s registration status;

  • use an attendee’s LGBTQ+ connection for unrelated purposes.

RainbowWeddingNetwork cannot guarantee every action of an independent participating business, but reports of serious misuse may be reviewed under our contracts, policies, or Vendor Guidelines.

F. Information about other people

Do not register a partner, guest, or other person or provide that person’s information unless you have permission to do so.

By submitting another person’s information, you represent that you have authority or permission to provide it and to have it handled as described in the event-registration terms and this Privacy Policy.

6. Sale, Sharing, and Targeted Advertising

We do not sell general RainbowWeddingNetwork or OurDay account and planning information to unrelated businesses for money merely because someone created an account.

However, some privacy laws use broad definitions of “sale” or “sharing.” Under those definitions, the following activities may be considered a sale, sharing, or targeted-advertising disclosure even when information is not sold as a traditional mailing list:

  • providing event attendee information to exhibitors, sponsors, or participating businesses as part of their paid event participation;

  • allowing certain advertising or analytics providers to receive cookie identifiers, device information, or browsing activity;

  • using information to deliver or measure advertisements across different websites or services.

We disclose event attendee information only as described in Section 5 and after the registrant affirmatively agrees during the ticket-registration process.

We do not sell or share sensitive personal information for the purpose of discriminating against someone, determining eligibility for important services, or publicly identifying someone as LGBTQ+.

Where applicable law provides a right to opt out of sale, sharing, or targeted advertising, you may submit a request using the contact information in Section 16.

Please note that opting out of future disclosures does not necessarily require participating businesses to delete information they received before your request. You may need to direct a deletion or do-not-contact request to those businesses individually.

7. Cookies, Analytics, and Advertising

We and our service providers may use cookies, pixels, tags, local storage, and similar technologies.

These technologies may be used for:

A. Necessary functions

These technologies support:

  • account login;

  • security;

  • authentication;

  • saved preferences;

  • fraud prevention;

  • payment and shopping functions;

  • basic operation of the Services.

B. Functional and personalization purposes

These technologies may remember choices and help provide more relevant content, search results, or features.

C. Analytics

Analytics technologies may help us understand:

  • how many people visit the Services;

  • which pages, tools, or listings are used;

  • how visitors arrive at the Services;

  • whether features work properly;

  • how website performance can be improved.

D. Advertising

Advertising technologies may be used to:

  • display advertisements;

  • measure advertising performance;

  • understand whether an advertisement resulted in a visit or action;

  • limit repeated advertisements;

  • provide advertising that may be more relevant.

You may be able to control cookies through your browser settings or through any cookie-preference tool made available on the Services.

Blocking necessary cookies may prevent portions of the Services from working properly.

Some browsers offer “Do Not Track” settings. Because there is not a single universally accepted standard for every Do Not Track signal, we may not respond to all such signals. Where applicable law requires recognition of a valid universal opt-out preference signal, we will process that signal as required.

8. Email and Other Communications

We may send:

  • account messages;

  • password and security notices;

  • purchase and billing communications;

  • event confirmations and updates;

  • responses to inquiries;

  • newsletters;

  • wedding-planning inspiration;

  • promotional offers;

  • information about RainbowWeddingNetwork Services.

You may unsubscribe from RainbowWeddingNetwork marketing emails by using the unsubscribe link contained in the email or by contacting us.

Unsubscribing from marketing does not prevent us from sending necessary account, transaction, event, security, or customer-service messages.

We may retain an email address on a suppression list so we can honor an unsubscribe request.

Participating event businesses are responsible for honoring unsubscribe and do-not-contact requests relating to their own communications.

9. Wedding Webpages, Guest Information, and Shared Content

Wedding webpages and planning tools may contain personal information about:

  • you;

  • your partner;

  • guests;

  • relatives;

  • members of your wedding party;

  • ceremony or reception locations;

  • wedding dates;

  • travel plans.

Before publishing or sharing content, consider whether it could expose someone’s identity, location, relationship, or private plans.

You should not publicly post:

  • home addresses;

  • private telephone numbers;

  • financial information;

  • passwords;

  • detailed travel itineraries;

  • information that could involuntarily out or endanger someone;

  • another person’s photograph or private information without permission.

You are responsible for selecting and using any visibility, sharing, password, or privacy controls offered for a wedding webpage or planning feature.

10. Vendor Listings and Welcoming-Business Information

Vendor listings are intended to help couples identify businesses that offer wedding-related services and welcome LGBTQ+ clients.

A business may voluntarily provide information about:

  • LGBTQ+ ownership;

  • communities served;

  • inclusion policies;

  • pronouns;

  • accessibility;

  • languages;

  • certifications;

  • affiliations;

  • experience serving LGBTQ+ couples.

We will not intentionally label a business as LGBTQ+-owned based solely on assumptions, employee identities, names, appearance, social media activity, or an unverified third-party report.

When a business voluntarily requests an LGBTQ+-owned or similar public designation, that information may be publicly displayed in its listing or advertising.

Business owners should not submit personal identity information concerning employees, contractors, customers, or other people without appropriate permission.

11. Reviews, Complaints, and Community-Safety Reports

Users may submit reviews or report conduct that appears:

  • discriminatory;

  • deceptive;

  • disrespectful;

  • threatening;

  • unsafe;

  • inconsistent with our Vendor Guidelines or other policies.

A review or report may contain sensitive information about the reporting person, a couple, a business owner, witnesses, or other people.

We may use and disclose information from a report as reasonably necessary to:

  • review the allegation;

  • communicate with the reporting person;

  • provide the affected business an appropriate opportunity to respond;

  • determine whether to restrict or remove content or a listing;

  • prevent fraud or abuse;

  • protect users or the public;

  • comply with law.

We will not publicly identify someone merely because that person privately submitted a report. However, complete anonymity cannot be guaranteed when disclosure is legally required or when the nature of the matter makes the person’s identity apparent.

Submitting a report does not guarantee a particular investigation, decision, listing removal, or legal action.

12. Data Retention

We retain personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including:

  • providing the Services;

  • maintaining accounts;

  • administering events;

  • fulfilling contracts;

  • maintaining financial and transaction records;

  • honoring marketing preferences;

  • preventing fraud and abuse;

  • resolving disputes;

  • enforcing agreements;

  • protecting safety;

  • complying with legal obligations.

The retention period depends on factors such as:

  • the nature and sensitivity of the information;

  • how long an account or business relationship remains active;

  • whether the information is public;

  • legal, accounting, tax, and contractual requirements;

  • applicable limitation periods;

  • security and fraud-prevention needs;

  • whether a complaint or dispute remains unresolved.

When information is no longer reasonably necessary, we may delete it, anonymize it, or restrict its use.

  • protect another person’s privacy;

  • prevent fraud or abuse;

  • maintain security;

  • complete a transaction;

  • comply with legal obligations;

  • establish or defend legal claims;

We may take reasonable steps to verify your identity before completing a request. Verification may include:

  • sending confirmation to the email address connected with your account;

  • asking you to log in;

  • comparing information you provide with information in our records;

  • requesting proof that an authorized agent is permitted to act for you.

We will request only information reasonably necessary for verification.

Authorized agents

Where permitted by law, an authorized agent may submit a request on your behalf.

We may require proof of authorization and may contact you directly to confirm the request unless applicable law provides otherwise.

Appeals

Please include enough information for us to identify the original request and explain why you believe the decision should be reconsidered.

15. Children’s Privacy

The Services are intended for a general adult wedding-planning and business audience and are not directed to children under 13.

We do not knowingly collect personal information online from children under 13. If we learn that we collected such information without legally sufficient parental permission, we will take reasonable steps to delete it.

A parent or legal guardian who believes a child has provided personal information may contact us.

Do not publish or submit a child’s personal information, photograph, guest information, or other content unless you have appropriate permission and authority.

16. Third-Party Websites and Services

The Services may link to:

  • vendors;

  • registries;

  • payment providers;

  • social media platforms;

  • advertisers;

  • sponsors;

  • venues;

  • travel providers;

  • event partners;

  • other independent websites or services.

We do not control the privacy, security, content, or business practices of independent third parties.

Information you provide directly to another company is governed by that company’s privacy policy and practices.

A link, listing, advertisement, or event relationship does not mean RainbowWeddingNetwork is responsible for the third party’s privacy practices.

17. International Visitors

RainbowWeddingNetwork is based in the United States.

If you access the Services from another country, your information may be transferred to and processed in the United States or another country in which our service providers operate.

Where applicable law requires a lawful basis for processing, that basis may include:

  • providing a service or performing a contract;

  • taking steps you request before entering a contract;

  • complying with legal obligations;

  • pursuing legitimate business interests;

  • protecting safety and security;

  • obtaining your consent.

Depending on applicable law, international users may have additional rights regarding access, correction, deletion, restriction, objection, portability, and complaints to a data-protection authority.
